Conceptual Support and Technical Implementation of an Input Management Solution for an Insurance Company for the Automated Processing of Daily Mail, Including Integration with a Scanning Center

Initial Situation

The insurance company faced the challenge of introducing an AI-based solution for the automated processing of daily mail to significantly increase efficiency and the dark processing rate while noticeably reducing processing times.

The project involved replacing the manual sorting and classification of incoming daily mail with an AI-based platform. Additionally, the existing scanning provider was to be replaced with one integrated directly into the platform. Approximately 150 different document types were defined and trained.

Customer Benefits

The introduction of the new IDP solution resulted in significant efficiency improvements and cost savings for the internal service departments (initial direct savings of 2 FTE). Furthermore, processing times were reduced by more than 60%, and quality was significantly enhanced.

Before the implementation, the dark processing rate was around 30%, which increased to 80% in the first phase of the IDP solution deployment.

Essentially, the input management solution transforms scanned letters into business-relevant dossiers. This is achieved through the following processing steps:

  • Document separation and classification
  • Data extraction
  • Data enrichment with master data
  • Dossier creation
  • Routing to relevant applications of the respective departments

Our Contribution

  • Recording the customer’s business requirements for an input management solution, including integration with an external scanning center
  • Analyzing and optimizing the affected operational processes to increase the dark processing rate and reduce processing times
  • Creating a technical and operational implementation concept for introducing an IDP solution (Intelligent Document Processing)
  • Defining and training approximately 150 different document types
  • Developing the platform for the automated processing and routing of incoming daily mail
  • Creating a testing concept
  • Providing support and continuous improvements during the hypercare phase
